Call for Applications: Events Manager and Museum Operations
Overview
This role is responsible for the overall logistics, coordination, planning, and execution of
events with internal and external partners of the Museum, as well as visitor experiences at
the museum for specialty events. Diplomatic community and international partner
organization engagement occurs on a frequent basis. This role also drives VOC’s day-today preparedness for events that move our mission forward. The position reports and
advises the Chief Operating Officer.
Key Responsibilities
Event Management and Execution
- Conceptualize, manage, plan, and execute signature events (e.g., 4-5 per year).
- Develop and implement internal and external events (averaging 50 per year),
including overseeing logistics of vendor and venue management and setup. - Contribute to the growth of internal events through relationship building.
- Serve as the lead manager for multiple signature events.
- Coordinate contract negotiation for museum event venue rentals.
- Manage external event clients and contractors.
- Oversee speaker travel, logistics, security walkthroughs, and collaboration with
advance teams and security details. - Secure and coordinate catering for internal events.
- Create, calendar plan, and track event communications in partnership with our
development and communications teams. - Assist in the execution of diplomatic visits, including those by embassies,
delegations, and foreign dignitaries. - Analyze event data to create after action reports.
- Design and print promotional materials and programs.
Museum Management
- Oversee building and facilities management and supervise staff offices and building
- spaces (e.g., security and housekeeping).
- Manage audiovisual operation and support for exhibits and event technology.
- Manage vendor and contractor coordination and ensure completion of contracted
statement of work. - Supervise staff and interns, including day-to-day oversight and training (e.g., front
desk operation and museum tours)
Museum Exhibitions
- Assist in the design, research, and installation of temporary museum exhibits.
- Manage exhibit curation, installation, and execution of related events which can be
several depending on the exhibition. - Develop coalition, partnership, and educational institute opportunities aligned with
the exhibition
Visitor Experience and Administrative Support
- Contribute to the development of educational programs.
- Coordinate and manage museum tours (academic, diplomatic, and professional)
and lecture engagements. - Optimize the overall visitor experience.
- Develop relationships to encourage repeat educational visits.
Qualifications & Experience
- 3+ years working events as an assistant, coordinator or lead planner.
- Friendly and polished demeanor.
- Versed in Communism, Pro-Freedom, and / or Central Eastern European movement
is not required but preferred. - Ability to work team environments yet be independently motivated.
- Onsite 4 days a week with the 1 remote workday.
- Weekend and evening work will be occasionally required.
- Proven ability in coordinating and executing a high volume of events.
- Strong organizational and logistical skills.
- Proficiency in managing staff, interns, and vendors
